This is your opportunity to lay it all on the table and let us know exactly which areas of your business you want to improve, how you think your team & projects can be better managed, and what systems you want to put into place to make your business run smoothly. It is also our opportunity to evaluate your needs, your team & projects, and your overall business structure.

We start new relationships with a 75-min strategic planning session with all key stakeholders. 



determining HOW TO MAXIMIZE impact

This is where we get serious. During the first 30 days, we do a full audit of all your business’ processes (or the ones you want us to take a look at). During the first two weeks, we look at files, procedures, and strictly observe how your business operates. The absolute earliest any implementation will occur is two weeks after the strategic planning session.

This is a time to show us examples of how you operate, introduce us to staff, and allow us to find our space.

Getting started off right

We hone in on what makes your business (or project) flourish! We are also on the lookout for which systems need polishing, where money is wasted, and which processes need implementation. As masters of efficiency, we want to make sure your business is reaching its full potential. We’ll fix immediate productivity leaks^ and lay the foundations for future projects. Our focus here is addressing inefficiencies with automation.

^ Our monthly retainer minimum is 3 months.



Getting started off right

Once we have spent some time in the nitty-gritty of your business, we will help create Standard Operating Procedures (SOPs). These  documents map out exactly how to execute and automate routine tasks individualized by team or project.

In addition to SOPs, we will help manage projects, product launches, and anything else your business needs. All with automation in mind.

Week One
Determining the Scope of Work

We will meet and discuss what your primary objectives are and how we can help you reach them. This will be the focal point that drives our work and should include key stakeholders with specific goals in mind. 

Week One
Meeting key stakeholders.

Knowing the players on the board is crucial to our success. We'll have 1-on-1 strategy meetings with key stakeholders to get the info we need and establish our communication cadence. This is where we determine who needs to know what, when they need to know it, and how that information is delivered to them.

Week Two
Unlocking our strategy.

After determining our goals and meeting the amazing people we get to work with, we'll create a high-level roadmap of our project, set up the project management system, and delivery a list of necessary access + materials to get started.

Week Three
Recognizing processes + pain points.

Taking the time to observe your current people and processes is crucial to gaining a detailed view of your business. We'll take a look at your SOPs, analyze your data, and have meetings with team members to find inefficiencies and improvements.

Week Four
Revising strategy + metric setting.

Once we've got a clear picture of what's really going on, we will adjust our strategy and upgrade to S.M.A.R.T. goals that include KPIs and objective milestones. These will be transparent and managed through our project management system.

We relish in the luxury of working remotely, but we’re not naive to its very specific challenges. To ensure our team is always responsive to your needs, our hours of operation are designed to adapt to your goals.

Time Tracking


All time spent on your projects is tracked to the minute. We will send you weekly progress reports to keep you updated on how our team is utilizing your hours. This process can be integrated into your teams as well.

payments + Invoicing

Last Pass

If necessary, we ask that our clients set up a LastPass account so that they can securely share their passwords with us. Please share passwords with: jess@obmsf.com.

Google Meet

When you buy a package of time with us, we commit to having enough time available to serve you. This affects how we work with others. We don’t offer refunds on unused hours or allow unused hours to roll over.


Adobe Suite

Our design sweet starts with everything Adobe. All of our team members have advanced skills with Photoshop, Illustrator, Indesign + Acrobat with a minimum of 3 years experience in a design specific role.

Project Management


We are happy to work with your PM tool (Basecamp, Asana, Airtable etc.). We will manage your project on our side with Trello. If you do not have a project management tool, that will be our first project!



Our team takes great pride in our responsive communication style. We utilize Slack to keep our conversations on point, but are happy to adapt to your system or preferred methods.



We adhere to a strict confidentiality code and no information will be divulged to a third party. Any person brought onto your project via my team will be required to sign an NDA. We take confidentiality very seriously.

payments + Invoicing


All payments on service hours are paid upfront via credit card or ACH transfers. Invoices are sent electronically on the 1st of the month. All services are prepaid and work will begin once payment is received.
